Production coordinator and graphic designer

POSITION SUMMARY

The production coordinator and graphic designer is an integral part of the public relations team that implements the annual communication strategies to meet the goals of Bluffton University and serves as a graphic designer with an annual project load assigned by the creative director. With other staff members of the public relations office, the production coordinator and graphic designer plays a central role in maintaining Bluffton University’s visibility, enhancing its name recognition and favorably shaping perceptions of the university among its various constituencies. As a member of the PR staff, the production coordinator and graphic designer assists with planning and coordination of public relations responsibilities including internal communications, special events, crisis communications and media relations.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.

  • Print Project Management

    • Responsible for project management of campus-wide print projects. Accountable for effective communication and collaboration with PR team, vendors and other departments. Be proactive in reaching out to assist other departments with their print communication needs. 

    • Develop, implement and maintain annual print production schedule of 600+ print projects to ensure they are started and finished according to deadlines. Work at improving efficiencies and schedule tracking through the creation of digital inventory/project management system.

    • During development of print specs, advise campus clients on best-practices to ensure best price on printing and postage based on industry standards. Responsible for obtaining price quotes from vendors and getting budget approval from campus clients before a project is started. Communicate and work effectively with graphic designers, campus clients and print vendors to ensure on time and high quality delivery of projects. Notify vendors of any problems regarding quality, delivery schedule, or other errors and resolve to meet Bluffton’s expectations.

    • As a member of the public relations creative team, implement and uphold the application of Bluffton University visual identity standards and editorial style guide. Support campus integration with these standards across all projects. Accountable for achieving Bluffton’s expected high level of quality on all printed materials through cross-checking received information with the outcome of the design. Ensure all edits and changes were made as part of the proofing process with the team. Make additional corrects as needed.

    • Responsible for printing and fulfillment of bulk mailings (250+ pieces) for enrollment and advancement.

    • Responsible for ordering stationary, business cards and name badges for all campus offices and departments. Limiting order to bi-annual frequency is encouraged though ultimately responsible for ensuring employees have items in a timely manner.

    • Responsible for invoice processing, cost containment and record keeping of print and postage costs for all projects. Negotiate print services costs as needed with print vendors. Provide director with cost reports and analysis, by Jan. 15 of each year.

  • Graphic Design 

    • Collaborate with creative director and social media manager/graphic designer on translating project concepts into compelling visual designs based on marketing objectives and the annual project list, including the design of digital and print materials for departments across campus.

    • Build and design email campaigns with JRM/Salesforce software to assist with recruitment.

    • Design graphics and produce recruitment materials as needed

    • Design digital and print ads as needed

    • Support web content manager in website redesign as needed

ADDITIONAL DUTIES AND RESPONSIBILITIES:

  • Maintain the processing of invoices and coordinating individual project budgets that cross into other divisional/department budgets. Provide reports to director of PR as requested.
  • Must have knowledge of printing processes and terms involved in submission of artwork to printers, U.S. Postal regulations and standards. 
  • Oversee work of student worker and interns as needed.

OCCASIONAL DUTIES AND RESPONSIBILITIES: 

  • Participate in meetings as assigned.
  • Other responsibilities as assigned by creative director.

QUALIFICATION REQUIREMENTS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

  • Education and/or Experience
    • Bachelor’s degree or equivalent, preferably in communications, graphic design or related field.
    • Five years experience in the field of organizational communications.
    • Three years graphic design experience, experience managing print production process and project management.
    • Experience with digital and/or web design/support.
    • Knowledge of marketing and communication.
