Resident Advisor Duties

STUDENT ROOM VOICE MAILBOXES

The room voice mailbox is not the same as the student's voice mailbox. The room voice mailbox is a 'tree' mailbox-used only to direct calls to the individual student's mailbox; it does not store messages. The room voice mailbox has the same number as the room telephone; it will always begin with a 3. The student's voice mailbox will be the same number as his or her Marbeck mailbox with a 7 added to the beginning of the number and 0s added to make a 5 digit number. For example, if the student's Marbeck box number is 725, the voice mailbox number will be 70725. If the student Marbeck box is 15, the voice mailbox number will be 70015. 

Resident Advisors set up room voice mailboxes (including their own). Students set up their own student's voice mailbox. First year students and new students will need to set up their own voice mailboxes. Please provide assistance where needed. 

To Set Up a Room Voice Mailbox:

  1. Dial 3402
  2. Enter the application ID for that room (given to you by the Technology Department), followed by #
  3. Enter the password for that room (given to you by the Technology Department), followed by #
  4. Press 5 to begin recording the greeting (see greeting instructions below)
  5. Press # to stop the recording
  6. Choose one of the following:
    • Press 81 - To go to another room application ID
    • Press 83 - To exit Voice Item Maintenance

If you have problems, contact the Help Desk at extension 3600 or email helpdesk. We will need to know: 1) Student(s) Names; 2) Hall and room number; 3) Extension; 4) Your name and phone number.

GREETING FOR 'TREE' VOICE MAILBOXES AT STUDENT ROOM NUMBERS

  1. To leave a message for {Name of student whose mailbox is numerically lower} enter a 1 from your key pad.
  2. To leave a message for {Name of student whose mailbox is numerically higher} enter a 2 from your key pad.
    If there are three roommates:
  3. To leave a message for {Name of student whose mailbox is numerically highest} enter a 3 from your key pad.

Note:

  • if the room is a single, you still use the room voice mailbox as a 'tree'; the caller must enter 1 to access the student's voice mailbox.
  • anytime there is a change in room assignments, the greeting(s) in the room voice mailbox affected must be changed by the resident advisor; and the voice mail administrator (Art Shelly) must also be notified to make changes in the voice mail system itself.

Helping Students With Their Mailbox Setup

Please help your residents with setting up their mailboxes for the first time.  Student Setup Instructions should have been passed out during RA Training, but are also available online at http://www.bluffton.edu/telecomm/stusetup.  It is important that everyone setup their mailboxes correctly, so that messages can be left successfully for everyone.
